Position Summary:

The Accounts Receivable Manager will be responsible for financial leadership of the receivable portfolio for a specified business unit. The AR leader’s portfolio will be approximately $1.0 billion in sales (USD). This role manages the accounts receivables team that researches and reconciles customer disputes, manages the A/R payments, credits, invoices, and contracts. Manager ensures team is recovering payments on invalid short payments/claims and dispute and assists in the research of them utilizing Solomon (ERP), Customer and third-party websites and external and internal departments. Responsible for month-end close.  Position handles significant high volumes which requires fast decision making and a self-starter requiring minimal supervision.

Responsibilities:  

  • Responsible for overall AR financial performance for specified business unit (cash flow, DSO, bad debt, etc.).
  • Plan, organize, lead, and control the activities of the group including the management of the retained staff, the staffing level and organization of the team as well as oversee the outsourced team that manages a portion of the portfolio. This includes operational and strategic efforts supporting business process improvement including cost management opportunities and initiatives.
  • Responsible for execution of overall talent recruitment and development strategies for the retained team including hiring, training, employee development and performance management.
  • Active participant at the leadership team level for the BU’s supported and conduct in-person or remote client and customer meetings to review the status of results for the customer portfolio versus performance standards and goal.  Take specific actions within assigned authority or make recommendations to GPO and leadership to ensure performance goals are met.
  • Monitor and track the daily analysis of A/R portfolio and disputed invoices/short-payments with high volume-based activity.
  • Provide leadership regarding the implementation of new business models, customer strategies, or sales initiatives.
  • Perform analysis and reconciliations of customer accounts based on the customer's purchases, payment history, credit worthiness, credit limit exposure and Mauser Packing Solutions’ business strategy.
  • Track, evaluate, and manage past due A/R accounts to reduce credit exposure and mitigate risk.
  • Evaluate credit worthiness of accounts and determine proper account order hold or releases.
  • Ability to research, reconcile and resolve cash application matters on customer account.
  • Analyze aged items for bad debt write off recommendation and/or refund.
  • Review, analyze, prepare documentation, and submit offsetting adjustments to ensure customer account balances are properly stated.
  • Contact customers to secure payment on overdue balances and drive resolution of issues on open items.
  • Provide guidance and support to Sales and Operations Managers, Logistics, Common Carrier disputes, and outside Distribution Operations about the release of orders to accounts with past due balances.
  • Maintain a strong cross-functional communication with Sales, Logistics, and Management regarding identified account risks, potential credit problems, disputes, and customer comments. Identify and escalate as necessary.
  • Provide monthly and ad-hoc reports and updates to key stakeholders

Systems:

  • Maintain and manage all data related to customer discounts, allowances, and other deductions in business ERP (QAD, SAP & Solomon)
  • Track work on deductions issues driving full resolution of any issues.
  • Research Cash Applications concerns/questions to drive proper application of payments to ensure AR Aging integrity. 

Compliance:

  • Create and recommend SOPs for processes that have not been fully documented supporting SOX control and perform annual reviews of documented processes for assigned Business Unit.
  • Ensure GAAP, SOX and Mauser policies and procedures are adhered to including the ongoing operation, maintenance, and controls of the AR system (QAD, SAP, Solomon).
  • Ensure proper SOX documentation on customer accounts, credit memo issuance and approvals.
  • Support the monthly audits of deductions, payments, and write-offs as well as annual audit.
  • Identify, recommend, and prepare accounts for placement with collection agencies or 3rd Party activity.

 

Financial Responsibilities:

  • Financial recovery of invalid disputed customer account receivables balances.
  • Negotiate and structure payment plans for approval by the Director/GPO.
  • Ensure customer accounts are accurately stated in adherence to US GAAP.
  • Recommend write offs for uncollectable open invoices and disputed balances.
  • Drive portfolio management to reach targets, manage credit exposure, mitigate risk, and maximize cash flow.

Job Requirements

  • Bachelor’s degree: Accounting, Business or Finance (equivalent education and experience considered)
  • 7+ years of experience in Accounts Receivable in a commercial / business-to-business environment and experience managing high-volume, large dollar portfolios.
  • 7 years minimum of A/R software experience such as QAD, Solomon, Oracle, SAP, etc.
  • 7 years minimum of A/R Dispute resolution experience,
  • Experience working with vendor portals.
  • 5 years minimum of Cash Application research and analysis.
  • Ability to perform customer account reconciliations.
  • Must have Intermediate to Advanced Excel skills: writing formulas, Pivot Tables, V-lookups, etc.
  • 7 years of experience working with cross-functional groups and different level of employees throughout the organization to effectively and professionally, drive and achieve business results.
  • 7 years GAAP and SOX experience.
  • Month end closing processes and knowledge of accounting principles.
